Privacy Policy

This Privacy Policy explains how IS IT MY NAME handles personal information when you use isitmyname.com, create an account, join the membership, receive emails, use community features, upload documents, use evidence tools, or intentionally publish a Public Recording.

Effective September 17, 2026Public-record consent explainedRights apply where required by law

1. Scope and privacy approach

This Policy applies to personal information handled through isitmyname.com and the services operated under the IS IT MY NAME project, including public pages, account registration, membership, the members portal, email communications, educational content, private community features, Public Recordings, and evidence/service tools.

We aim to identify why information is collected, limit collection to what is reasonably needed for the selected service, use reasonable safeguards, and provide access or correction rights where applicable.

2. Information we may collect

Information you provide

  • Account information such as name, email address, username, profile details, password credentials in protected form, and community identifiers you choose to provide.
  • Membership and transaction information such as selected plan, contribution status, transaction identifiers, billing status, cancellation status, and entitlement/role information.
  • Messages you send through contact forms, support requests, replies, surveys, or other communications.
  • Content you upload or create, including documents, PDFs, descriptions, dates, locations, parties, links, tags, categories, recordings, notices, evidence material, and other files.
  • Public Recording content you intentionally choose to publish.
  • Livestream and community participation information, which may include your display name, username, profile image, voice, likeness, video image, chat messages, questions, answers, comments, screen shares, and other contributions you voluntarily make during a live, recorded, or publishable session.

Information generated through use of the service

  • Technical information such as IP address, browser/device information, timestamps, login events, security events, page requests, error logs, and related operational data.
  • Email and funnel events such as confirmation status, delivery or bounce events, link clicks, and conversion-attribution events where those features are enabled.
  • Usage and access information needed to operate member permissions, protect private content, maintain account security, troubleshoot errors, and improve the service.

When checkout is handled by an independent transaction processor, sensitive financial credentials may be collected directly by that provider rather than by IS IT MY NAME. The provider’s own privacy terms also apply.

3. How we use personal information

We may use personal information to create and manage accounts; provide membership access; process contribution status; deliver the Free Guide or other requested material; send confirmations and operational emails; provide community and educational features; record and produce livestreams, Q&A, podcasts, and other sessions; create member-only and public educational or promotional content from authorized participation; enable Public Recordings; operate evidence/service tools; protect accounts and content; prevent abuse; troubleshoot; maintain logs; respond to support; improve the service; enforce terms; and satisfy applicable legal obligations.

Where a privacy law requires a legal basis, processing may rely on performance of a service you requested, your consent, legitimate operational and security interests, or compliance with law, depending on the information and context.

4. Public Recordings are intentionally public

The Public Recordings / Lawful Public Recordings feature is designed for intentional public publication. It is not a private storage area.

Your publication choice is consent to public visibility. When you press the applicable publish/submit control for a Public Recording, you direct IS IT MY NAME to make the submitted information and attachments publicly viewable. This may include titles, descriptions, dates, locations, named parties, documents, PDFs, links, categories, tags, author/profile information, and any other material you intentionally include.

After you publish, IS IT MY NAME cannot control the privacy of that information. Public material may be viewed by anyone, indexed by search engines, copied, downloaded, quoted, screenshotted, cached, archived, linked, redistributed, or stored outside our systems. It may become public knowledge through those downstream uses.

Even if content is later removed from isitmyname.com, we cannot guarantee deletion from search indexes, caches, archives, third-party databases, screenshots, downloads, communications, or copies retained by other people.

Before you publish

Review the complete record and every attachment. Do not include information you wish to keep private. Redact unnecessary account numbers, government identifiers, passwords, authentication information, private addresses or contact details, information about minors, medical information, or other sensitive information unless you have deliberately decided that publication is appropriate and you have the right or lawful basis to publish it.

Information about other people

If you include personal information about another person, you are responsible for determining whether you have the authority, consent, lawful basis, or other right necessary to publish it. IS IT MY NAME cannot make that determination for you and does not assume responsibility for a member’s publication decision.

5. Livestreams, Q&A, Telegram, and recorded participation

IS IT MY NAME may host livestreams, live podcasts, Q&A sessions, webinars, interviews, voice/video rooms, Telegram discussions, and other live or recorded community events. These sessions may be recorded or captured for member education and, where appropriate, public content.

Participation notice and consent: By voluntarily participating in one of these sessions, you consent to IS IT MY NAME capturing and using your participation as described in the Terms & Conditions. Depending on how you participate, the captured material may include your display name, username, profile image, voice, likeness, video image, messages, questions, answers, comments, and material you intentionally share during the session.

Authorized recordings or excerpts may be used in the members portal, Educational Series, podcasts, replay libraries, clips, websites, social media, educational material, promotional material, and other member-only or public IS IT MY NAME content.

Because public content may be copied, downloaded, quoted, cached, archived, or redistributed by others, IS IT MY NAME cannot guarantee removal of all downstream copies after authorized material has been publicly released. Any privacy rights that cannot lawfully be waived remain subject to applicable law.

If you do not want your participation recorded or potentially included in member or public content, do not participate in a session identified or reasonably presented as recordable or publishable. A session expressly designated by IS IT MY NAME as private or off-record may be handled differently according to the notice given for that session.

6. Lawful Service of Notice and evidence records

When a member uses notice-transmission or evidence features, the system may process information needed to create and preserve an evidence record. Depending on the feature configuration, this can include sender and recipient information, email addresses, message content, document names, cryptographic hashes, transmission timestamps, delivery or SMTP events, access events, link/document access, replies, archive-copy events, verification data, and related technical logs.

These records are used to provide the requested evidence functionality, maintain integrity and security, troubleshoot delivery, and preserve the technical chronology selected by the member. Evidence records may be retained longer than ordinary operational logs where preservation is part of the requested feature.

A technical event does not necessarily prove that a human personally read, understood, accepted, or legally received a notice.

7. Cookies, local storage, analytics, and similar technologies

The site may use cookies or similar technologies that are necessary for login sessions, account security, membership access, preferences, forms, checkout flow, and basic site operation. Where analytics, attribution, or optional measurement tools are enabled, they may also collect page, referral, click, or campaign information.

Where applicable law requires consent for non-essential technologies, the relevant choice or consent mechanism should be used before those technologies are activated.

8. When personal information may be disclosed

We may disclose information to service providers that help operate the site, such as hosting, email delivery, transaction processing, authentication, security, storage, communications, and technical support providers, subject to the functions they perform.

Information may also be disclosed where reasonably necessary to protect the service or users, investigate abuse or security incidents, establish or defend rights, comply with a valid legal requirement, or complete a business reorganization or transfer subject to appropriate protections.

Public Recordings are different: information a member intentionally publishes there is disclosed to the public at the member’s direction, as explained above.

9. International processing

IS IT MY NAME serves an international audience and may use service providers in more than one country. Personal information may therefore be processed or stored outside the country where you live. Local authorities in those jurisdictions may have lawful access rights under their laws.

Where required, reasonable contractual, technical, or organizational measures may be used for cross-border processing.

10. Retention

We retain personal information for as long as reasonably needed for the purpose for which it was collected, account administration, transaction and accounting records, security, dispute resolution, evidence preservation, legal obligations, or enforcement of agreements.

Retention can differ by category. Public Recordings may remain publicly available until removed or otherwise managed under the feature’s rules, while evidence records may be preserved for the chronology the member requested. Backup copies may persist for a limited period after operational deletion.

Removal from our own systems does not delete copies of public material that have already been indexed, cached, archived, downloaded, quoted, or redistributed by others.

11. Security

We use reasonable technical and organizational measures intended to protect personal information and member-only content against unauthorized access, alteration, loss, or misuse. No internet service, email system, storage system, or transmission method can be guaranteed completely secure.

You are responsible for using a strong password, protecting your account credentials, and avoiding publication of information you do not want made public.

12. Your privacy rights

Depending on where you live and which privacy law applies, you may have rights to request information about our processing, access personal information, correct inaccurate information, request deletion, withdraw consent where processing is based on consent, object to or restrict certain processing, request portability, or complain to an appropriate privacy regulator.

These rights are subject to legal exceptions and identity verification. Some information may need to be retained for security, transaction, evidence, contractual, or legal reasons.

Important for Public Recordings: a privacy request can address information that remains under our control, but it cannot guarantee removal of public copies already held by search engines, archives, recipients, members of the public, or other independent third parties.

13. Email choices

Operational messages relating to your account, security, membership, contribution status, requested materials, or service activity may be necessary to provide the service. Promotional or educational email sequences may include an unsubscribe method where required or appropriate.

Some emails may record delivery, bounce, confirmation, link-click, or attribution events in order to operate the requested funnel, document communications, measure whether requested material was delivered, or improve the service.

14. Third-party services, links, and Telegram

The site may link to or integrate with independent services such as Telegram and transaction, email, hosting, or storage providers. Those services have their own privacy practices. Information you choose to provide directly to them is also governed by their terms and policies.

Private community status on isitmyname.com does not change the privacy characteristics of an independent third-party service. Avoid sharing highly sensitive information in third-party channels unless you understand and accept the applicable privacy risks.

15. Children

The membership and account services are intended for adults aged 18 and older. We do not knowingly invite children to create membership accounts or intentionally collect personal information from children through the membership service.

16. Changes to this Privacy Policy

We may update this Policy as the service, technology, or applicable requirements change. The effective date at the top of this page identifies the current version. Material changes may also be communicated through the site, account area, or email where appropriate.

17. Privacy contact and requests

Privacy questions, access/correction requests, or other privacy requests may be sent using the contact method published on isitmyname.com. Please identify the request as a privacy matter and provide enough information for us to locate the relevant account or record and verify the requester where appropriate.
